Overview
The Media Library stores all images, documents, and other media files used throughout the website. It allows users to upload, organize, and manage media files efficiently. Media items such as images and documents, also called Attachments, can be uploaded and managed through the Media Library. Within the Media Library, you’ll find Folders which are used to organize the Attachments. The Folders can also be used to publish interactive Document Libraries to the website.
Best Practices
File Naming Conventions
- Use descriptive filenames (e.g.,
Kirk-Park-Map.jpginstead ofIMG1234.jpg). - Include department name to differentiate generic filenames (e.g.,
Treasurer-Annual-Report-2024.jpginstead ofAnnual-Report-2024.jpg). - Use clean and precise filenames. Do not include the date unless it is relevant. (e.g.,
CAA-Program-Application.jpginstead ofCAA-Program-Application-Oct-2024-Updated-FINAL.jpg).
Image Optimization for Performance
- Resize images before uploading to reduce load times.
- Use compressed formats (e.g., JPEG for photos, PNG for graphics with transparency).
- Follow other best practices outlined on the Images page.
Accessibility Considerations
- Always add alt text for images to improve accessibility.
- Use captions where relevant to provide context.
Upload an Attachment
Attachments can be uploaded in any of the following ways.
- Drag and drop a file into the Media Library
- Click Add New File from the Media Library
- Click Add Media in a text or content module in the Divi Builder.
Make sure to add your uploaded files to a folder to keep the Media Library clean and organized for everyone.
Edit an Attachment
- Go to Media > Library
- Search for the Attachment or navigate to it using the Folders.
- Click on the Attachment. From here you can edit the name and meta data or replace the file with a new version. If the Attachment is an image, you can also crop and edit the image here.
Replace an Attachment
To replace an existing attachment, follow these steps:
- Follow the Edit an Attachment instructions above to navigate to the Attachment Details screen.
- Under Replace Media, click Upload a New File
3. Add the new file to the upload area on the right.
4. For most situations, keep the other settings as they are by default (as shown below).
Folders
Folders are used to organize media files. When you upload a new attachment, make sure to add it to your department folder to keep files organized. Folders can also be used to publish interactive Document Libraries to the website. Attachments can be added to Folders in a few different ways:
Option 1: Select the Folder in the Media Library and upload the file.
Option 2: Edit the Attachment and select the correct folder under Filebird Folder
Option 3: Within the Divi Builder, when uploading a file, you are given the option to select which folder to add it to.
Document Library
Folders can be published to the website using the FileBird Document Library. To publish a Document Library, follow these steps:
- Add the files to a Folder in the Media Library.
- From the main dashboard, go to Document Library.
- Select the Folder(s) you would like to display and configure the settings.
- Click Generate. Copy and paste the generated shortcode into a Code module using the Divi Builder.
Once you’ve published a Document Library to the website, you can add and delete files from the Media Library Folders directly and the changes will automatically reflect on the website.
Detailed Instructions
Library Shortcodes
You can now use shortcodes to easily add document libraries to your pages and posts. Libraries are a handy way to add multiple documents to a page and allows users to search and filter through existing documents.
- Navigate to the Document Library tab on the site dashboard.
- Set up your document / file list. Add a title to your library and choose which media folders you would like to include from the right hand “Folders” list.
- Save your new library. Once all settings are in place, click the save / publish button in the upper right hand corner of the page. When the library has been successfully saved, click the County logo in the upper left hand of the screen to navigate back to the Document Library tab of the dashboard.
- Use the library shortcode. Copy the text from the “shortcode” column and paste it into whatever page or post you’re editing. Once saved, the library will dynamically appear wherever this code is present.
- Updating an existing library. If you make any changes or updates to a library, those changes will automatically reflect on the website; There is no need to re-copy and paste the code.
